Companies are increasingly asking themselves this question as the home office option has been expanded in more and more companies. And if there are fewer people in the office, is the office space still the same? A large office space means high costs. In an effort to save costs in the company, attention is therefore quickly drawn to the space required in the office. Do you still need that much space? How big does an office have to be? And how can you reduce operating costs?
One Study by IW Cologne confirmed: Office usage costs are often the second-largest cost block for companies after personnel costs. Focusing on space optimization therefore has several advantages: By adapting space to the actual needs of the company, excess space can be converted or even sold off. This saves running costs. At the same time, a conversion is always accompanied by modernization. This means an increase in efficiency for employees and, accordingly, lower personnel costs with increasing turnover.
Space optimization was also an issue for Gothaer Insurance in Cologne — away from conventional departmental thinking towards agile cooperation. Thanks to the liquidation of individual offices, office space could be planned more efficiently. This freed up new areas, which are now used flexibly for meetings and creative brainstorming sessions. The result is a Multispace, which is characterized by desk sharing and diverse opportunities for efficient project work.
A similar transformation also has NEW network in Mönchengladbach: Thanks to a grid structure, the individual modules can now be flexibly adapted to different work situations. The room concept for the new working environments makes flat hierarchies tangible and strengthens employee satisfaction — another important aspect for reducing personnel costs.
Planned according to requirements How much space is required for what must be determined individually for each company
But how much office space will companies need in the future? This depends on various factors: The office space per employee changes, for example, as a result of the amount of home office used. In a study It is estimated that 85% of office workers could work from home. The IW Cologne In addition, states that employees now work from home on average two days a week. Only 11% who would have the opportunity to do so would not want to take advantage of this offer. The introduction of desk sharing therefore makes sense in most companies. This means that every employee no longer has to be assigned their own desk space and the space requirement per employee decreases.
The actual remaining space requirement in the office can be determined for each company using an office space calculator. To do this, all individual parameters are entered, which in the end result in the unique value of how much office space can be saved. The legal requirements of the Workplace Ordinance for a workplace are also automatically taken into account.
Die Study by IW Cologne assumes that the attendance rate of employees will fall significantly. As a result, office space could be saved in every company.
Fits like a glove The optimal area size is calculated individually for each company
In order to optimize office space requirements, the simultaneous introduction of a modern office concept useful. This is because reducing office space alone does not result in the desired increase in efficiency. This can only be achieved through good cooperation among employees. In addition, surfaces for Communication and exchange at the center. This promotes the flow of information and creative brainstorming. This in turn increases the company's ability to innovate.
Even before the widespread spread of Home office Wished loudly IBA 36% of employees have more modern opportunities to work and exchange ideas with each other. One in five employees has no access to areas that are primarily used for informal communication, according to the IBA. The profitability of a company depends to a large extent on the performance and cooperation of the team. Potential to increase efficiency, which has therefore been unused so far.
At the same time, a modern workspace increases the attractiveness of the employer. This ties employees and gives them points of identification with the company. According to the IBA, almost 70% of employees say that they value the attractiveness of the working environment when choosing an employer. Long-term profitability can therefore only be achieved if skilled workers are recruited and retained and cooperation among each other is promoted.
